Departmental Mailbox FAQ

The following descriptions follow the same order as the items of the Department Mailbox Request Form.

Requestor information:

Name

Name of the person requesting the mailbox.  This person is probably (and should be) one of the "owners" of the mailbox and will responsible for its proper use and maintenance

UNO username

UNO username of the requestor.  The name of your LAN or e-mail account; i.e., the first part of your UNO e-mail address: the abced part of abcde@uno.edu .   This cannot be an alias, like  John.Doe or even John.Doe@uno.edu.  This is needed for sending a verification of the request

Department/Unit

Name of the department or unit to which the requestor belongs

Phone number

Phone number where the requestor can reached in case additional information is needed

   
Chair/Director information:

Name

Name of the department chair (or unit director); the person who actually approves the request for a departmental mailbox

UNO username

UNO username of the person who approves the request.  The name of the LAN or e-mail account of the person who approves the request is entered here; i.e., the first part of the person's UNO e-mail address: the abced part of abcde@uno.edu.   This cannot be an alias, like John.Doe@uno.edu.  This is needed for sending the approval for the departmental mailbox

   
Mailbox information:

Preferred name (e.g., xyz)

Name of the mailbox; a short name.  For example, buzzwords

Alternate name (e.g., UNO-xyz)

Second choice for the mailbox to be created in case the preferred name is already in use.  For example, uno-buzzwords

Display name

Name to be used as the sender's name when messages are sent from the mailbox.  For example, Buzzwords Anonymous

Expiration date

A date when the mailbox will no longer be needed; e.g., 1/31/2003 or January 31, 2003 (because this represents a date six months after the conclusion of a conference and the mailbox was establish to accommodate communication for that conference)

If the mailbox will continue indefinitely, leave this entry with the word none

Reason/purpose

Brief statement why the mailbox is needed

Enter the UNO usernames of each "owner", one per line

List the UNO usernames (one per line) of the individuals who are to be empowered to read messages sent to the mailbox and who can send messages from the mailbox.  The requestor should be in this list.  Note that none of these usernames can be an e-mail address or an alias (i.e., a name containing a period).  So you must use just Jsmith rather than Jsmith@uno.edu or John.Smith@uno.edu.

Extra comments

Any comments the requestor may wish to communicate to the UCC staff that will create the mailbox.  (This is the only item that may be left blank.)

Submit request

Click this button to submit the request to the department chair/unit director for approval.  (The requestors will receive a verification of the request.)

Reset

Click this button to remove all entered information so that the request form can be filled in anew.
