How do I forward my UNO E-mail to another address?

Situation:

Outlook-XP user wants to forward his/her mail to a non-UNO e-mail account

Important:

Forwarding should be done with care. If many individuals forward their messages to the same remote e-mail server, the remote server may misinterpret the incoming messages as spam and either block or delete them before the intended account receives the messages; hence, it is possible that the user may miss important messages because they were thought to be spam. The user must be aware of this possible circumstance. UCC cannot be responsible for the actions or the policy of remote e-mail servers.

Note 1: The user must be using Outlook XP (i.e. 2002) or later on a computer on the UNO campus.

Note 2: It is NOW possible to indicate forwarding with the current version of OWA (i.e., OWA-2003).

Procedure:

Add recipient address (the address to receive the forwarded messages) to the Outlook Addressbook

  1. Launch Outlook.
  2. Click the Addressbook tool (pictured as an opened book).
  3. In the "Show Name for the" slot, click the down-pointing triangle and select Contacts.
  4. Click the New tool (first on the Addressbook toolbar).
  5. Click New "Contact".
  6. Enter the recipient's name in the Full Name slot.
  7. Enter the e-mail address in the E-mail slot.
  8. [Enter other items as desired.]
  9. Click "Save and Close" of the toolbar.
  10. Close the Addressbook window.

Construct a rule to forward all messages to the address of the remote e-mail server.

  1. Launch Outlook if necessary.
  2. Click Tools of the Menu bar; then select Rules Wizard.
  3. In the Rules window, click "New".
  4. Click "Start from a blank rule".
  5. Click "Check messages when they arrive".
  6. Click "Next".
  7. In the "Which condition(s) do you wish to check?" sub-window, click "where my name is in the To or Cc box" and click "Next"
  8. In the "what to do with the message?" sub-window, click "redirect it to people or distribution list" (this will keep the name of the original sender with the message and will not keep a copy of the message on the UNO e-mail server); clicking "forward it to people or distribution list" will replace the original senders name and address with your name and address--the message will also remain on the e-mail server at UNO.  Click "Next".
  9. In the "Rule description" section, click "People or distribution list".
  10. In the Rule Address window, click "Show Names for the"; click "Contacts"; locate the desired recipient address (as created in steps 1-10 in the first section above) and click the "To -->" button.
  11. Click "OK".
  12. In the Rules Wizard window, click "Next"
  13. No not click any exception because then the excepted messages will remain on the UNO e-mail server and eventually exhaust your quota allocation.
  14. Click "Next".
  15. In the "Please specify a name for this rule" section, enter a desired name (like "Forward all my mail").
  16. Click the check box next to "Turn on this rule".
  17. Click "Finish".
  18. In the Rules Wizard window, click the Move Down or the Move Up button to move the rule to the top of the list so it is performed first.
  19. Click "OK".
  20. Use File > Exit to conclude Outlook.

The newly created rule will be used whether or not you currently have Outlook launched.

You MUST check your Exchange e-mail account peridocally to completely delete unwanted messages e.g., items in the Deleted Items folder, in the Junk Mail folder, or in the Sent Items folder. Without deleting these unwanted items, you will eventually exhaust your disk quota and will not be able to send or receive messages.
